Instructions for setting up and using the video conferencing system in the Coquitlam campus Boardroom (B3011) including the touch panel, built-in PC, laptop and Elmo. 

Step-by-step guide

Projection screen

Raise or lower the screen using the rocker switch on the wall above the Electronics Cabinet.

Microphone setup (ITS only)

ITS is responsible for setting up the microphones for video conferences. Microphones are stored on a shelf in the front section of the wooden Electronics Cabinet. The cabinet door is secured with a combination lock. 

ITS Staff: Follow the MIC Setup instructions located on inside of cabinet door.

* To obtain the combo lock, contact the Service Desk.

Launch video conference using built-in Boardroom PC

  1. Tap the Touch Panel to start the system.

  2. The projector will automatically turn on and the room PC will be selected for display. 

  3. Use the wireless keyboard & mouse located on top of the electronics cabinet to access the Boardroom PC. 

  4. Sign in to the PC using your Douglas College CNA credentials.

  5. Launch your pre-scheduled meeting link.

Video Conference Settings

The microphone, speaker and camera settings default to the appropriate devices.

  • Microphones: Line In (Core Sound Card)
  • Speakers: Line Out (Core Sound Card)
  • Camera: New West is set to Cameras. Coquitlam is set to Extron MediaPort 200

 

Adjust the cameras

  1. Select Presenter Cam or Audience Cam

  2. Camera controls and presets appear on screen. Adjust as needed.

Join the video conference from a secondary laptop (Optional)

You can join the conference from a laptop, but it does not replace the need to join the conference with the built in Boardroom PC.

  1. Select the provided meeting join link.

  2. To prevent audio feedback, do not connect to meeting audio on the laptop. Use the audio connected to the Boardroom PC instead. 

 

System shut down procedures

  1. End your video conference, then log out and close the software application.

  2. Log out of the Boardroom PC: Start Icon > Your Image > Sign Out

  3. On the Touch Panel:

    1. Select Shutdown button (bottom-right).

    2. The Power Down selection page opens asking "Do you want to power down the system?"

  4. Select Power Down.

  5. Return the wireless keyboard and mouse to the top of the Electronics Cabinet.

Breakdown and charge microphones (ITS only)

ITS puts microphones away on shelves in wooden Electronics Cabinet:

  1. Follow the microphone charging instructions located inside the cabinet door.
  2. Close and lock the Electronics Cabinet by turning the combo lock to left.
  3. Scramble the combination numbers to prevent unauthorized access.
